How to Schedule an Appointment

Overview


Appointments are mentioned in different ways as appointment are the activities that schedule in your calendar. It does not involve engaging other people and reserving resources. The different ways that cab be grouped into window entry and direct entry. Window entry uses a window having information together, which can be displayed on the calendar whereas direct entry simply termed as direct entry in the calendar. If you want to make a quick notation, then direct entry is suitable for that as it is fast entry. In window entry you can set and select a number of options.

Directly Enter an Appointment


By scheduling date, time and typing the description, you can directly enter an appointment into the calendar. If you want to change the time from the default half hour to longer or shorter period that change the time by simply drag the top or bottom border up and down. To move an appointment simply drag it to anywhere in the calendar into the current day or another day. To change appointment properties, make a double click on the appointment that opens a context menu where you have to set the number of properties.

Steps to Directly Enter an Appointment


1. In the Calendar grid (Day, work week, schedule view or week month), click any date and time. And give a short description for the appointment and click on the Enter.

2. At the bottom border of the appointment, place the mouse pointer at the sizing handle. Until you reach at the end of the appointment time, drag the border down.

3. To make changes in the beginning time of appointment, do drag the top border up and down until the reflected time is not proper in the calendar.

How to Directly Enter All Day Events


You can create them differently as compared to appointment. All day events are appearing at the top in the banner of daily schedule, whereas appointment is kept in the calendar itself. To directly enter an event:

1. To add the event, open Day, Week View or Work Week with Outlook calendar. When the event takes, select the particular day in the calendar grid.

2. In the top banner of the daily schedule, click on the dark bluish area and click the Enter.



Enter Appointment in Window


New Appointment window is an alternative to direct enter the events and appointments. To Open a New Appointment Window: 



1. Click New Appointment in the New group, from the Outlook Calendar home tab.

2. Click Subject and enter the subject related to appointment.

3. Click on TAB button and type the location in the Location text box.

4. To set a date, click the down arrow of Start Time to view a small calendar.

5. To set the time, click the down arrow on the right and choose the start time you want.

6. Select the end date & time by clicking the End Time down arrow.

7. Set the appropriate time zone if you have selected more than one time zone.

8. Enter any note or information in message section of the Appointment dialog box.

9. Click on Show As down arrow and tell Outlook how to display this time slot onto your calendar form the Appointment tab Options group.

  • Free: This time is scheduled and is available.
  • Tentative: Currently not finalized and potentially scheduled.
  • Busy: Time is now unavailable to be scheduled
  • Out of Office: Time cannot be scheduled and is unavailable.

10. Click the down arrow of Reminder and set the time for reminder from the Appointment tab Options group.

11. Click Save to save the changes you have made and then Close.
