How to Locate and Explore Journal in Outlook

Using a Journal in Outlook


Outlook Provides an important features that help you to manage various information. This feature is termed as Journals. Journals are designed to help you in order to maintain information and your persona, contacts. They help you to organize your notes, print them and use them with features in Outlook. In this document, we will discuss about how to explore journals.

Locate the Journal Icon


By default journal is not one of the Outlook views in navigation pane or in button bar at the bottom. Access journal form the Mail view home tab. Click on the New Items, then select More Items, and finally choose Journal Entry. You can change the Navigation pane to include the journal in the view list.

1. From the right of the button bar click on Configure button and select “Navigation Pane Options”.



2. Click Journal, from the dialog box of Navigation Pane Options.

3. To view Journal in Outlook view click on Move up and then select OK.

Explore the Journal


As journal is the standard feature of Outlook, so it doesn’t immediately visible in the Navigation bar. Once you place it in Outlook views pane or button bar, so it is easy to access it from any view and to explore its basic features.

From the button bar click on Journal (“Locate the Journal Icon” to know how to locate journal in button bar or Outlook View). Following features are in Outlook Journal View.

1. The Navigation pane shows the structure of Outlook folder. From the Outlook View you can access the Mail and Journals and other features showing in the Outlook window.

2. In the middle, the folder is journal. By default giving you any existing journal entries.

3. You can view the selected journal entry from the Reading Pane.

4. To display calendar entries and current task, go to the To-Do-Bar on the right.

5. The Journal option allows you to open your Journal folder.

6. The Button bar contains folders that are initially not shown in the Outlook view, such as journal and Notes. For reordering the Outlook View it contains Configure button.



Now we discuss about How to Add a Journal Entry


  • With Journal open, you can easily and quickly add journal entries as you need them. 

  • Click on the Journal Entry in the New group, from the Home tab.

  • From the Journal Entry window, enter a name which should be descriptive for the Journal entry in the subject text box.



  • Choose the type of entry which you are creating from the Entry Type drop down list.

  • To select start date and time, use the drop down menus. You can also select the duration of the event from that drop down menus.

  • Click on the large text box and type the journal you want to make.



  • Click Start Timer in the Journal entry tab Timer group. The timer appears in even minute increment from the duration field. To stop the timer, click on Pause Timer. If you want to add time to the existing time in the duration field, click on the Start Timer and reset the timer by clicking the Duration down arrow and clicking 0 Minutes.


  • Select save and then close. Now you can see the new journal entry in your journal.
