How to Share and Publish a Calendar?


Share a Calendar


Outlook 2010 Calendar can be shared with many different ways with others. The calendar can send using different methods such as e-mail, publishing calendar to Microsoft Office Online or share with default Microsoft Exchange Calendar with others using the same server. In this section we discuss about how to share and publish a Calendar.

Send a Calendar within E-mail:


You can send a calendar to anyone from whom you want to send in the body of an e-mail message. The person who receives the calendar will see a snapshot of it at a given moment of time. If the recipient uses the Outlook 2010, can open the calendar snapshot as an Outlook Calendar and view it either side by side. The calendar you send is not automatically updated, if the recipient needs a regularly updated calendar, consider publishing your calendar to Microsoft Office Online using the publishing Web service or if your office has it then share your calendars via an Exchange Server.

Steps to share a Calendar:


  1. Select a calendar you want to share from the Calendar’s Outlook View.
  2. From the Home tab in the share group, click on the E-mail Calendar.
  3. Then click the calendar down arrow and select the calendar which you want to email.
  4. Click the down arrow from Date Range, and to set the time at which you want to send the calendar, click on the time period.
  5. Click the Detail icon, then choose the type of calendar information.
  6. If you choose option Availability, click on the "Show Time Within My Working Hours Only", only when if you want this option
  7. If desired, click Advanced. Then click on Include Details of Items Marked Private / click Include Attachments.
  8. Click on E-mail Layout and click Daily Schedule/ List of Events format.
  9. To close the dialog box, click on OK.
  10. Type the e-mail recipient address in To field by clicking on To.
  11. To send email, click on the Send button.

Publish a Calendar:


For publishing a calendar Microsoft offers an option to Publish your calendar online. There is no need of Microsoft Exchange for this method either on the user of the calendar. When you use this service first time, then you must register using your Microsoft Windows Live ID account. If you do not have any account, then follow the given instructions.

Steps to Publish a Calendar To Microsoft Office Online

  1. Make a right click on the calendar you want to share from the Calendar’s Outlook View.
  2. Click on Share, then click on Publish to Office.com to open the Publish Calendar to Office.com dialog box. If needed, then go through the registration process.

  3. If you want to send the whole calendar or just a section of the calendar, then click on the Time Span button. To set the time span of the calendar for time range, click on the previous and click the Through Next down arrow.
  4. If you want to control/restrict access to the calendar, then select the option “Only Invited Users Can Subscribe To This Calendar” otherwise select this option “Anyone Can Subscribe To This Calendar”. 
  5. Click Advanced option, a Published Calendar Settings dialog box will appear.
  6. To update your calendar automatically, click option “Automatic Uploads” or select the option Single Upload if you do not want calendar update.
  7. Then, Publish the calendar by clicking the OK button.
  8. When your calendar published successfully, then a dialog box will open showing a message to creating an e-mail. Click Yes to create otherwise click on No to close the dialog box.
