How to Receive and Handle Email in Outlook?

As we all know about the Outlook, which is an email client application. It is widely used to send and receive e-mails. Sometimes mails that come in our account arrives as a spam mail or junk mail rather going to inbox. In this article we discuss about how to create an account, receive mails and how to deal with the messages that come from any other account to your account.

First, we discuss about “How to Setup Email account”?


To set up an email account,  you need an internet connection  that provides a global pipeline due to which you can interact with other people through sending and receiving emails. Both ISPs local and national offers emails through Internet connections. You can have your email account that connects to the Local Area Network (LAN) for work or business purpose. You can access these mail accounts (for example: gmail, yahoo) anywhere in the world using the internet.

ISPs, Internet e-mail and corporate connections are the 3 ways of retrieving e-mail. Different types of email systems are used by these connections which are as follows:

  • POP3: POP3 stands for “Post Office Protocol 3”, which is used by Internet Service Provider (ISP) to retrieve emails from a specialized mail server. To send emails this is typically combined with Simple Mail Transfer Protocol (SMTP) from a distinct server.
  • MAPI: It stands for “Messaging Application Programming Interface” . It is used to handle emails on Local Area Network (LAN) and Exchange Server.
  • HTTP: Hyper Text Transfer Protocol lets you to transfer information from server proceeding to the World wide web (www) to the browser. It is used with different mail accounts such as Hotmail. This is the reason your browser starts the address line with "http://"

 
How to Receive E-mails?


If you have installed at least one email account in Outlook, then you are ready to accept mails. The mail can be opened by clicking on the Mail particular mail which you want to open.  

How to Check for Emails?


Once you set up your account, then it is easy to download mails.

  1. First, you have to check whether you are connected with internet or not. If you are connected, then select the mail from the navigation pane.
  2.  From Quick Access toolbar, click on Send/Receive or Press F9.
  3.  If mail is previously not open, click on inbox  from navigation pane and see the mails that come in. If you have multiple mail accounts, click the Inbox icon among the multiple mail accounts. You could need to scroll  completely the folder list and click the account to see the Inbox. 

How to receive emails automatically?

Not only Outlook checks  your email provider periodically, but also it can be done automatically. Desktop warnings/ alerts are elusive way to fade in and out.
  1. Open Outlook and click on “File tab”, then select Options and click on “Advanced”.
  2. Then select Send/Receive under the Send and Receive pane.
  3. From Setting For Group “All Accounts” section, checkmark the Schedule An Automatic Send/Receive Every by clicking the checkbox. And enter the number of minutes to intervene between checking. Then, click on Close button.




Also being easy to achieve, emails are effortless to open and read. The steps described here tells to view the body of the message in  ways:.

  •          Make a double click on the message that you want to open and read it from the window that opens.
  •          Or Read the message from the reading pane and scrolls if needed.


Tip: To find where your data files are located follow the given below steps:

Step1: In Outlook, click on the File tab, Info that will open by default, Select the Account Setting down arrow. Click on the Account Setting from the drop down menu.

Step2: Choose the account which you want to locate by clicking on it. And you will see the location of the account at the bottom of the Account setting dialog box as shown in fig:
