How to Modify a Standard Form

Overview


Outlook is built around different types of forms such as appointment forms, message forms, contact forms and many others. Forms provide resources to collect information. Fields are defined under forms, which are single pieces of information collected by the form like addressee and subject in an email message form.



Explore Outlook Forms in the Developer Tab


To see all the forms together and to use various forms within each of the views, first you need to display the developer tab. Following given steps help you to open the Developer Tab.

1. Open Outlook and click on file. From the drop-down menu click on select Options. In Outlook Options dialog box, click on Customize Ribbon.

2. From Main Tabs, in the right tab list click on Developer. Then click OK.

3. Developer tab will appear, click on Developer tab and in the custom forms group click on Choose form.




4. To see forms available in each folder click on Look In. Select one of the forms and click on Advanced. Then you see a description form, who created it and the message class.

5. Open a form by clicking on it and click on Open.

6. To close it, Click on Close.

Modify a Standard Form


Modify any standard forms and then use revised form in the same way you did as before it was modified.

1. Select the Developer tab. From the Custom Forms group, click on Design A Form.

2. From the Look In drop down list, click the folder that holds the form you want to modify.



3. Click the form you want to modify and Open it by clicking the Open. Form will appear in the Design Mode and field chooser dialog box will appear beside it, if you want to add fields to the form then select the particular option you want to edit from it.

4. From the Developer Tab Form group, and choose between changing the form as the sender will see it (click Edit Compose Page) or as the recipient will see it (click Edit Read Page).

5. Choose from among of the following changes made on the form:

  • If you want to delete a field from the form, then select it by clicking on it and press DELETE.
  • To change the field size, select the sizing handles that appear around the field. Drag one of the sizing handles to change the field size.
  • At the top of the Field Chooser dialog box click field categories drop-down list, select a category & drag a predefined field where you want to place it.
  • To add a new field in the form, click on New from the field chooser dialog box. When New Column dialog box appear, enter name, select format and type and click OK. Then Drag the new filed in the form where you want to place it. 

  • From the Developer tab, click on Publish in Form group. From the menu select the Publish Form As. Accepting the default, Personal Forms Library, type the name of the Form, Display name and click on Publish. Under the Display Name form will appear in Personal Library. 

6. Save the form in case you are not ready to Publish it. Click the File tab and select Save As option. Give a name to the form and select the folder where you want to save the form. Then, click on Save.
