CUSTOMIZE CALENDAR VIEW IN OUTLOOK

Outlook Calendar provides you several options to work with, that can be used to help you work more efficiently. You can create customized calendar views, with contacts and mail either by creating a new one or by modifying an existing view. You modify or create a new view from the ribbon’s View tab Current View group.



Modify a Work Week, Month View, Week and Day


1. To open the calendar, click Calendar from Outlook View.

2. Click on Change View in the Current View Group from the View tab.



3. Click on Manage View from the drop down menu to open the dialog box .

4. Select the View name you want to modify. Click Modify to open the “Advanced View” settings dialog box. Choose “Only Show Views Created For This Folder”, to simply your choices.

5. To open date/time fields dialog box, click the “Columns” button. From the list "Available date/time" fields, choose a field. The start and end fields set how each date and time item is displayed within the current view.

Choose from the following:

a. If you want the start and end time to be the time and date the item was created then click on Created.

b. Click option Due By, if you want to start and end time be the date and time at which the item was created.



c. To display the ending time or date, click on “End”.

d. To show Recurring appointment starts and ends, click Recurrence Range Start or Range End.

e. To show when an appointment begins, click on “Start”.

f. If you want new field is to replace End field, then click on “End”.

g. To close the dialog pop-up box, click OK.

6. Click Start, when you select Available Date/Time from the list.

7. To have it appear in the end fields, click End.

8. Click “Select Available Fields From” down arrow to open a list from which you can choose another field list.

9. When you have completed your selection, then click on OK.

10. Click Filter, a filter dialog box will open, use filter if you want to create a customized view. For example: you can create a view that shows only management meetings and family events.

11. Click Other Settings to open the format (Day/Week/Month) Settings dialog box .

12. Click Conditional formatting to open the conditional formatting dialog box. To set the name, color, condition (to create filter) for a particular rule.

13. Click OK to save all the settings you made. If you want to undo a change you made to the current view, From the Advanced View Settings dialog box, click on “Reset Current View”.

CREATE A NEW VIEW


There are numerous standard views offered in a folder from which you want to choose or create custom views. A view is composed of a color, view type, fonts, fields, and various other settings that gives you different ways to look items in a folder. In this section we discuss about about how to create a New View in Outlook.


Steps to Create a New View:


1. Open Outlook, then click on Calendar from Outlook View.

2. Open Current View group by clicking on Change View.

3. Select Manage View to open the Manage All Views dialog box and click New.

4. Then Create a New Dialog box will appear on the screen

a. For this new view, give a name

b. Click on the Type of View

c. If you want to make your new view available to everyone, then select “This Folder, Visible To Everyone” option.

d. To open Advanced View Setting dialog box, click on OK.

e. To save the settings of the new view, click on OK button.

f. Then, close the dialog box.

5. Your new View displayed in the Manage All Views Dialog box.



6. If you want to see the new view immediately, click on “Apply View” or close the dialog box by clicking the Close button, to stay in the current view. The next time you click over Change View, the new view is included on the list.
