How to Modify a Standard Form

Overview


Outlook is built around different types of forms such as appointment forms, message forms, contact forms and many others. Forms provide resources to collect information. Fields are defined under forms, which are single pieces of information collected by the form like addressee and subject in an email message form.



Explore Outlook Forms in the Developer Tab


To see all the forms together and to use various forms within each of the views, first you need to display the developer tab. Following given steps help you to open the Developer Tab.

1. Open Outlook and click on file. From the drop-down menu click on select Options. In Outlook Options dialog box, click on Customize Ribbon.

2. From Main Tabs, in the right tab list click on Developer. Then click OK.

3. Developer tab will appear, click on Developer tab and in the custom forms group click on Choose form.




4. To see forms available in each folder click on Look In. Select one of the forms and click on Advanced. Then you see a description form, who created it and the message class.

5. Open a form by clicking on it and click on Open.

6. To close it, Click on Close.

Modify a Standard Form


Modify any standard forms and then use revised form in the same way you did as before it was modified.

1. Select the Developer tab. From the Custom Forms group, click on Design A Form.

2. From the Look In drop down list, click the folder that holds the form you want to modify.



3. Click the form you want to modify and Open it by clicking the Open. Form will appear in the Design Mode and field chooser dialog box will appear beside it, if you want to add fields to the form then select the particular option you want to edit from it.

4. From the Developer Tab Form group, and choose between changing the form as the sender will see it (click Edit Compose Page) or as the recipient will see it (click Edit Read Page).

5. Choose from among of the following changes made on the form:

  • If you want to delete a field from the form, then select it by clicking on it and press DELETE.
  • To change the field size, select the sizing handles that appear around the field. Drag one of the sizing handles to change the field size.
  • At the top of the Field Chooser dialog box click field categories drop-down list, select a category & drag a predefined field where you want to place it.
  • To add a new field in the form, click on New from the field chooser dialog box. When New Column dialog box appear, enter name, select format and type and click OK. Then Drag the new filed in the form where you want to place it. 

  • From the Developer tab, click on Publish in Form group. From the menu select the Publish Form As. Accepting the default, Personal Forms Library, type the name of the Form, Display name and click on Publish. Under the Display Name form will appear in Personal Library. 

6. Save the form in case you are not ready to Publish it. Click the File tab and select Save As option. Give a name to the form and select the folder where you want to save the form. Then, click on Save.

NSF Files

Create and Remove a Contact From Group In Outlook

Create Contact in Contact Group


Avoid entering the address one by one for each member of an organization to which you want to send messages. So there is an option to send message to each member in an organization is to send message in Group. So, sending a message to the group seems as an entry of its own in your Contact list.


Now, in this section we’ll discuss about how to send e-mail messages using a contact group.

Steps to Send E-mail Using Contact Group:


1. Open Outlook, Select New Contact Group from the contact window.

2. In Contact Group window, add a name for your group in the Name text box. In the ribbon’s Contact Group tab Members group, click on Add Member to select the location of member you want to add in the group.

3. To choose names, click on Address Book or From Outlook Contacts.

4. To enter name and e-mail address, click on New E-mail Contact.
  • If you want to include the name to your regular contact list, click on “Add To Contacts”.
  • If you want to add this name to this contact group, then clear the “Add To Contacts” checkbox.
  • Click OK, after selecting the appropriate option which you want to choose.


5. Click Notes to add a note to your group from the Contact Group tab Show Group.

6. Click Save & Close to save setting done for Contact Group from the Contact Group tab Action Group.

Remove a Name from a Contact Group

Sometimes, you make changes to your contact name, address, etc. or you delete the particular name which you want no more in your contact list. Also to keep messages going to the right places, you can add or remove members and update current information directly from your contacts. Remove Contact from Contact Group

1. Open the Contact window to remove a name and locate the contact group. To open the contact list double-click on the list.

2. Click Member to open the list of members from the Contact Group tab Show group.

3. Click on the name which member name you want to remove and click Remove in Member group. It only removes the name from contact group not from your Contact list.

4. To save changes, click on the Save & Close from the Action group.

Use Instant Messaging with Outlook

FIND WINDOWS LIVE MESSENGER


By default Window Live Messenger is installed in Windows 7 and Windows Vista. Therefore, when you turn on your computer, it automatically displayed. However, if you don’t see it automatically when you turn on your computer so you can easily find and activate it.

Steps for Activating Window Live Messenger


1. If you have installed Windows Live Messenger, previously, but it did not start automatically. Then go to Start button, click on All Programs. Then scroll down and select Windows Live and click Windows Live Messenger to open it.



2. Enter e-mail address and password, if you have already signed up for Windows Live.

3. Take an action to indicate if you want your computer to remember your ID & password and whether you want to sign in automatically to the account.

4. After completing the action, click on Sign In.

5. A Windows Live Messenger welcome message will appear and inform you to connect with others. Click Do it Now, or click Add A Contact from the Welcome To Windows Live Messenger dialog box and add contacts from Facebook, MySpace, or from email Address Book. After doing this click on Close.


Steps To Activate Instant Messaging In Outlook


1. Open Outlook, then click on File and select Options.

2. Then choose Contacts.

3. Click “Display Online Status Next To Name” from the Online Status and Photographs. Then click on OK.



This expresses that you can use the Outlook messaging features to send a message. Also allows to see who is online next to an email sender’s name in the Reading pane.


Create A New IM Contact


1. From the Windows Live Messenger window, click on the Add A Contact form the right side of the text box.



2. Enter The Person Information dialog box appears on the screen.

4. In the given field type your message or invitation and ask to add to Windows Live Messenger Contacts list.

How to Share and Publish a Calendar?


Share a Calendar


Outlook 2010 Calendar can be shared with many different ways with others. The calendar can send using different methods such as e-mail, publishing calendar to Microsoft Office Online or share with default Microsoft Exchange Calendar with others using the same server. In this section we discuss about how to share and publish a Calendar.

Send a Calendar within E-mail:


You can send a calendar to anyone from whom you want to send in the body of an e-mail message. The person who receives the calendar will see a snapshot of it at a given moment of time. If the recipient uses the Outlook 2010, can open the calendar snapshot as an Outlook Calendar and view it either side by side. The calendar you send is not automatically updated, if the recipient needs a regularly updated calendar, consider publishing your calendar to Microsoft Office Online using the publishing Web service or if your office has it then share your calendars via an Exchange Server.

Steps to share a Calendar:


  1. Select a calendar you want to share from the Calendar’s Outlook View.
  2. From the Home tab in the share group, click on the E-mail Calendar.
  3. Then click the calendar down arrow and select the calendar which you want to email.
  4. Click the down arrow from Date Range, and to set the time at which you want to send the calendar, click on the time period.
  5. Click the Detail icon, then choose the type of calendar information.
  6. If you choose option Availability, click on the "Show Time Within My Working Hours Only", only when if you want this option
  7. If desired, click Advanced. Then click on Include Details of Items Marked Private / click Include Attachments.
  8. Click on E-mail Layout and click Daily Schedule/ List of Events format.
  9. To close the dialog box, click on OK.
  10. Type the e-mail recipient address in To field by clicking on To.
  11. To send email, click on the Send button.

Publish a Calendar:


For publishing a calendar Microsoft offers an option to Publish your calendar online. There is no need of Microsoft Exchange for this method either on the user of the calendar. When you use this service first time, then you must register using your Microsoft Windows Live ID account. If you do not have any account, then follow the given instructions.

Steps to Publish a Calendar To Microsoft Office Online

  1. Make a right click on the calendar you want to share from the Calendar’s Outlook View.
  2. Click on Share, then click on Publish to Office.com to open the Publish Calendar to Office.com dialog box. If needed, then go through the registration process.

  3. If you want to send the whole calendar or just a section of the calendar, then click on the Time Span button. To set the time span of the calendar for time range, click on the previous and click the Through Next down arrow.
  4. If you want to control/restrict access to the calendar, then select the option “Only Invited Users Can Subscribe To This Calendar” otherwise select this option “Anyone Can Subscribe To This Calendar”. 
  5. Click Advanced option, a Published Calendar Settings dialog box will appear.
  6. To update your calendar automatically, click option “Automatic Uploads” or select the option Single Upload if you do not want calendar update.
  7. Then, Publish the calendar by clicking the OK button.
  8. When your calendar published successfully, then a dialog box will open showing a message to creating an e-mail. Click Yes to create otherwise click on No to close the dialog box.

Understanding the Need of Creating a New Outlook Profile


Understanding Profiles


The first thing you must do, if you want to use the Outlook to send and Receive emails is to set up your account or email account. You can use more than one email account at the same time as it supports different types of accounts. Once you set up the email account it automatically starts working to send and receive mails in that account. If you need to set multiple profiles, then Outlook will allow you to create multiple accounts. Whenever you may need to modify the account setting Outlook provides for that, too.

How to Create Profile in Outlook?


In this section we will discuss about how to set up your email accounts. The users never need for multiple profiles, but sometimes there are circumstances where they can be beneficial:
  • If you want to separate out two or more types of information such as related to work and personal information, so you can create a profile for each.
  • If you want to keep your IMAP and POP accounts separate from an Exchange account.
  • If more than one person uses the same computer, each person can have their own profile. 

As we discuss about the third point which is usually doubtful point because in modern versions of Windows provide a different user account for logging on to Windows, which automatically gives each user their own Outlook profile. Profile helps you to separate out individual email accounts so that the email does not mess up with any other email account, in which more than one user can use the same Windows logon but still have separate Outlook data.

Remember: Creating an Outlook profile is not sound as creating a separate personal folder file as each profile’s folder are kept in the separate profile which may contain one or more personal folders.

Steps for Creating a New Profile:


When you set up Outlook onto your machine, then wizard takes you over complete steps for creating a profile. For creating a new profile in Outlook you do not make direct use of Outlook for creating a new profile. You must create a new profile by using the Window Control Panel of your system, as follows:
  • First, you select the “Control Panel” from the Start menu.
  • Click on Mail to open the Mail Setup Outlook dialog box.
  • Click on “Show Profiles” button, then a Mail dialog box will appear on the screen. This box displays the list of existing profiles, in which by default it displays its name as Outlook.

  • Now, Click on the Add button to open the New Profile dialog box.

  • Enter a name for your new profile and Click on OK.

The mail dialog box provides other actions which are as follows:

  • Remove: If you want to remove a profile from the system, then select the profile which you want to remove and click on the Remove button.
  • Properties: This option allows to view and edit the profile properties, including the email account setting and data files.
  • Copy: This option gives you the copy of selected profile with a new name. This option helps you, if you want to keep the same setting for a new profile as an existing one. Create a copy by using this option then edit it as needed.
  • Prompt for a Profile: This option is helpful, when you have more than one profile. When you start a new program each time Outlook will prompt you to select the profile. 
  • Always use the Profile: Select a profile from the list that you want to use Outlook.

Switching Profiles


If you want to Switch from one profile to another profile when Outlook is in running mode, then Outlook will not allow you to switch at that time. If you selected the option “Prompt for a File”, then you need to quit the Outlook and restart it, then choose the desired profile when prompted.

If you selected the option “Always Use this Profile”, so you must need to follow the given below steps for switching one profile to another.:
  1. Close Outlook application.
  2. Select Control Panel from the Start menu.
  3. Then Open Mail
  4. Click on the Show Profile button.
  5. Select the Prompt for a Profile option.
  6. Then Exit from all dialog boxes by closing them and start the Outlook.

How to Create and Manage Contacts in Outlook 2010?

When you have entered a name as a contact, you can add business related information like numbers, important dates, addresses as per your requirement. Also, you can add personal information. In this document we will discuss about different ways of using contact information, including how to create and maintain contacts.

Create Contacts

It is a kind of address book which is used to write phone numbers. Repeatedly, entries get scratched out and changed as people move. Other entries are almost incomprehensible because now in the family every member have multiple phone numbers.

Beside, this Outlook provides a sufficient alternative that helps you to keep contact and related information up-to-date. If you want to create a new contact from an email message, from a public folder and from an electronic business card, then  you can add contacts from within Outlook.

Steps to Add a New Contact to Outlook 2010:

1. Open Outlook and Select Contacts from the bottom of the navigation pane.

2. Click on New Contact from the contact Home tab or you can press CTRL+N

3. If you don’t see the contact window, then click on General from the contact tab. This allows you to enter basic contact information.

4. Fill the following fields such as Full Name, Company, Job Title, File As, etc. by using the TAB key to move through the fields or by clicking in the desired fields.

5. Internet field allows to add:
  • E-mail: This can allow you to add up to 3 email addresses associated with the same person by clicking the down arrow.
  • Display As: This field helps you to determine how the person’s name appears in the “To” field of an email message.
  • Web Page Address: This field is used to enter the Person’s URL.
  • IM Address: Enter the Internet mail address that a person uses for instant messaging.
6. Phone Number field allows to enter detailed information about the person and a particular number related to that by clicking the down arrow and enter the number in the text box.

7. Addresses: This field allows you to enter detailed information up to 3 types such as Home address, business address or other. For more than one address for a contact you have, click the checkbox to mark “This Is the Mailing Address” to specify the respective address used for mail.

8. Notes: Add any type of comment or note in the text box­­­­­­­­­­­­ which you want to add.

9. To show the “Detail fields” such as Specific Office Information, Internet Free-Busy and Personal Information, click on “Details” from the Contact Tab.


How to Copy Contacts from E-mail?


If you want to copy an email address from the Cc or From email message fields, then a contact window will open with an email address and name field.

1. Open an email you have received from which you want to add a contact.

2. Make a right click on the name in the message window, and click “Add to Outlook Contact”. Fill the information which you want to add.

3. Then click Save and Close.

Finally, the name and email address are added to contacts.



How to Receive and Handle Email in Outlook?

As we all know about the Outlook, which is an email client application. It is widely used to send and receive e-mails. Sometimes mails that come in our account arrives as a spam mail or junk mail rather going to inbox. In this article we discuss about how to create an account, receive mails and how to deal with the messages that come from any other account to your account.

First, we discuss about “How to Setup Email account”?


To set up an email account,  you need an internet connection  that provides a global pipeline due to which you can interact with other people through sending and receiving emails. Both ISPs local and national offers emails through Internet connections. You can have your email account that connects to the Local Area Network (LAN) for work or business purpose. You can access these mail accounts (for example: gmail, yahoo) anywhere in the world using the internet.

ISPs, Internet e-mail and corporate connections are the 3 ways of retrieving e-mail. Different types of email systems are used by these connections which are as follows:

  • POP3: POP3 stands for “Post Office Protocol 3”, which is used by Internet Service Provider (ISP) to retrieve emails from a specialized mail server. To send emails this is typically combined with Simple Mail Transfer Protocol (SMTP) from a distinct server.
  • MAPI: It stands for “Messaging Application Programming Interface” . It is used to handle emails on Local Area Network (LAN) and Exchange Server.
  • HTTP: Hyper Text Transfer Protocol lets you to transfer information from server proceeding to the World wide web (www) to the browser. It is used with different mail accounts such as Hotmail. This is the reason your browser starts the address line with "http://"

 
How to Receive E-mails?


If you have installed at least one email account in Outlook, then you are ready to accept mails. The mail can be opened by clicking on the Mail particular mail which you want to open.  

How to Check for Emails?


Once you set up your account, then it is easy to download mails.

  1. First, you have to check whether you are connected with internet or not. If you are connected, then select the mail from the navigation pane.
  2.  From Quick Access toolbar, click on Send/Receive or Press F9.
  3.  If mail is previously not open, click on inbox  from navigation pane and see the mails that come in. If you have multiple mail accounts, click the Inbox icon among the multiple mail accounts. You could need to scroll  completely the folder list and click the account to see the Inbox. 

How to receive emails automatically?

Not only Outlook checks  your email provider periodically, but also it can be done automatically. Desktop warnings/ alerts are elusive way to fade in and out.
  1. Open Outlook and click on “File tab”, then select Options and click on “Advanced”.
  2. Then select Send/Receive under the Send and Receive pane.
  3. From Setting For Group “All Accounts” section, checkmark the Schedule An Automatic Send/Receive Every by clicking the checkbox. And enter the number of minutes to intervene between checking. Then, click on Close button.




Also being easy to achieve, emails are effortless to open and read. The steps described here tells to view the body of the message in  ways:.

  •          Make a double click on the message that you want to open and read it from the window that opens.
  •          Or Read the message from the reading pane and scrolls if needed.


Tip: To find where your data files are located follow the given below steps:

Step1: In Outlook, click on the File tab, Info that will open by default, Select the Account Setting down arrow. Click on the Account Setting from the drop down menu.

Step2: Choose the account which you want to locate by clicking on it. And you will see the location of the account at the bottom of the Account setting dialog box as shown in fig:

Outlook Express Error "550-Relaying not Allowed"

What does this mean “550-Relaying not Allowed”?

This is an error message occur in Outlook Express. In Outlook there is a mail server  called “SMTP authentication” as a safeguard, which perform a query to the other mail server with respect to password at the time of sending emails. That takes guarantees for no unauthorized user can send an email to your mailbox.

 This error message comes from the mail server not from the “Outlook Express” itself. This means that when an SMTP mail server does not recognize you as an authorized person, at that time it rejects your message and shows an error.  If you directly connect to the Internet Service Provider, then it recognizes those whose IPs are accepted and added to the accepted list by configuring their SMTP server. If you are using multiple ISPs, then it is possible to meet this problem.

There is one more reason for facing this issue is due to the antivirus software. Antivirus configures Outlook Express by using a local proxy for the SMTP Server. So, there is no need to scan email in order to protect your computer from any outside threats (like a virus). From your antivirus you should disable the option of scanning e-mail and re-enter the accurate name for the SMTP server.



How to fix  '550- Relaying not Allowed ' error ?

The error message having number 0x800CCC79 is received when using “Outlook Express”. This error  message comes from the server as a response (550 Relaying not Allowed) which shows what the actual problem is about. To resolve this problem you need to change the SMTP server for the mail account.

To change the SMTP Sever follow the steps given below:

  •          Go to the mail account
  •          Then click on Tools
  •         Select  Accounts| <account name> Properties and then “Servers”

WAB File Recovery

WAB File Overview

WAB stands for “Window Address Book” which is a part of Microsoft Windows and mainly used by Outlook Express.  WAB is used to store information related to contacts such as email address, name and phone number. WAB helps to let users keep in a single contact list which can be shared by multiple programs. Difference between WAB file and PAB file

Generally, Outlook Express used .WAB format to store contact information where as Microsoft Exchange uses .PAB format to store contact information. When you export .WAB file on Exchange server, it would store the data in .PAB file format.

Corruption Issues occur in WAB File:

1.       Power Failure: When data damaged by power failure like; faults at power stations, damage to electric transmission lines, other parts of the supply organization, short circuit, or congestion of electricity mains, occurs it may damage the data of Address Book due to sudden system shutdown.

2.       Virus attack: It is the most common reason behind the corruption of WAB files. In exchange of data from one system to another, if a mishap occurs, then our data would be infected through virus such as Trojan horse, worm,  etc.

3.       Sharing File within a network: when we share WAB file within in a network from one system to another, sometimes it may cause to an interrupt. This interrupt would make file, unable to open.

Outlook Express (DBX File)



Outlook Express is an email client application for Microsoft Outlook. It is used to manage email and contact information and participate in newsgroups. It contains different folders to store email messages in a particular mailbox such as Inbox, Outbox, Sent, etc. These folders contain its own DBX file to store messages in a particular mailbox folder like as inbox.dbx, outbox.dbx, sent.dbx, etc.  The DBX file can be copied to another location when the user needs to back up their mail or want to transfer their mail to another system.

Corruption issues occur in a DBX file:
  • OE clatters and not start: This error occurs when Outlook Express crashes and failed to start it due to one or more than one DBX files being corrupt. Sometimes, it happens when DBX file is being marked as as Read only.
  • Invalid Message Errors: This type of fault can occur if a message rule is used with wrong logic.
  • No Specified Sender: This error would generate at the time of sending messages. When information is corrupt or missing from the user information for a respective account.  
  • 550- Relaying not allowed: This error message is sent by the mail server not itself by Outlook Express, which means that when an SMTP mail server does not recognize user as an authorized user then it will reject your message and shown this error message.
  • This error message occurs when a reply is sent to a deep thread in the newsgroup. Line 3 is known as Reference Header which contains ID of every message sent in the thread. Sometimes this line becomes too long, the OE adds a carriage return in its place removing some middle ID. This makes last message ID as invalid and blocked the reply.
